Reports to: Finance Officer / Chief Finance Officer

Position Summary
The Finance Assistant / Cashier will support the Finance Department in ensuring sound
financial management, compliance with donor and AMEF policies, and accurate financial
documentation.
The role involves managing cash and bank transactions, maintaining financial records,
supporting payroll and budgeting processes, and ensuring that financial resources are used
efficiently and transparently.

Key Responsibilities
    1. Financial Operations
Key Duties and Responsibilities:
• Implement and make sure all local Gov’t rules and regulations are respected, such as declaration and payment of CNPS and Taxes and other statutory dues.
• Keep the office safe, safe keys, cash and other assets in a secure and protected place.
• Keep record of all cash, bank and advances on excel worksheet, update every day and reconcile daily.
• Do cash counts on daily basis and reconciliation on weekly and whenever needed by chief Finance Officer, Executive Director and official auditors directed by the supervisor.
• Assist in Budget Preparations and control.
• Print all payment vouchers and match with the documents and file.
• Disburse or receive authorized cash or bank payments and receipts.
• Ensure all required documents are attached; calculations are correct, appropriate approvals and reviews made for all budget request and invoices before payment of any cash or bank payments.
• Enter all transactions to the accounting software under the supervision of the Finance officer / Accountant / Chief Financial Officer whenever required.
• Ensure compliance and adherence with GAAPs, OHADA and International Financial reporting standards and accounting practice.
• Code all expenditures following the standard chart of accounts, coded budget and record to the accounting software or recording system daily and ensure weekly review and posting.
• Match invoices, receipts with payment vouchers, Goods Received Notes and other required documents.
• Prepare cash, bank and advance reconciliations and submit for review / approval every week and monthly.
• Ensure all income taxes, withholding taxes, VAT and other taxes are withheld and paid accordingly.
• Keep all finance documents and reports are properly filed, labelled and stored in a clear and easily accessible manner during finance control and evaluation.
• Assist non finance staff in use of financial tools in line with AMEF policies.

2. Compliance and Documentation
• Follow all AMEF Policies; Finance, procurement, asset management, and HR policies etc.
• Ensure compliance with donor regulations and requirements.
• Maintain proper filing and secure storage of financial documents.
• Ensure invoices and receipts are correctly matched with payment vouchers and supporting documents.
• Support internal and external audits as required.

3. Administrative and Institutional Support
• Safeguard office cash, keys, and financial assets.
• Assist non-finance staff in using financial tools in line with AMEF policies.
• Prepare weekly and monthly financial reports for submission to the Finance Officer/Accountant.
• Remain flexible and adaptable to additional tasks as assigned.
• Conduct oneself professionally to uphold AMEF’s reputation and humanitarian mission.

Required Qualifications
Education
• Diploma or Bachelor’s Degree Certificate in Accounting, Finance, Economics, or related field.
Experience
• Minimum of 1–2 years’ experience in a cashier, finance assistant, or accounting role.
• Previous experience working with an NGO is an asset.

Required Skills and Competencies
• Strong accounting knowledge (general ledger, journal entries, payroll, cash/bank management).
• Familiarity with GAAP, OHADA, and international financial reporting standards.
• Proficiency in MS Office (especially Excel) and accounting software such as QuickBooks.
• Fluency in both written and spoken English and French.
• Strong integrity, attention to detail, and confidentiality.
• Willingness to travel and take temporary assignments in AMEF offices.
